Spring 2012 Student Contract

Parents and students should read the policy and procedures outlined below before registering. Online registration constitutes agreement to abide by the policies of the SOTA program.

Registration

  • Parents and students will read the Student Contract.  Online Registration constitutes agreement to abide by the policies of the SOTA program.
  • Parents will submit the registration fee and full tuition payment to Cindy Drewski in the Westminster building.
  • Students are not enrolled in the SOTA program and will not be scheduled for lessons until all fees and tuition are paid in full and the Student Contract is signed.


Tuition and Fees

  • Parents will pay a one time per year per family Registration Fee of $30.
  • For the Fall semester of 2011, private lesson tuition rates are as follows:
    • 14- 30 minute lessons will be $308
    • 14- 45 minute lessons will be $448
      • Students who wish to participate in the MTNA theory program are required to take the 45-minute lessons.
      • Parents are responsible for paying any testing fees, entry fees or accompaniment fees.
      • Group music lessons will be done by special arrangement only, in the event that a group class is not offered.
  • Class fees are listed in the Class catalogue.
  • Parents will submit the Registration form, the Student contract, the registration fee and the full tuition payment, to Susan Rhoades in the Westminster building. Checks should be made out to CCA, with School of the Arts written in the memo line.
  • Should a student require an accompanist for any performance or competition, it is the parent’s responsibility to pay the accompanist.


Lesson Schedules

  • It is very important that parents fill out the registration form completely especially with regard to the student’s schedule and conflicts. This information is what is used to create the lesson schedule.
  • The SOTA registrar will make the lesson schedules. No times are guaranteed ahead of time.
  • The SOTA registrar will only schedule students who have completed the registration form, student contract, and have paid the registration fee and full tuition payment.
  • Students are assigned lesson times based on when the completed registration was submitted, the student’s age and schedule, the teacher’s schedule and other factors such as after school care, car-pooling issues or sibling groups.
  • Once the lesson schedule is created, changes to the schedule are extremely difficult and will not be made except under extreme circumstances.
  • Any changes a parent wishes to make to his or her child’s regular lesson schedule will not be done by the teacher, but must be approved by the SOTA registrar or Fine Arts Director.
  • Make-up lessons will be arranged between the teacher and the parent.
  • Lessons will consist of a 30 minute or 45 minute appointment with the teacher. Preparing the instrument and tuning is part of the lesson. Parents should expect that a minute or two of the appointment time will be used to drop off and pick up students.
  • Teachers strive to stay on schedule, if you wish to talk with them, please make arrangements to call them at a time other than before or after your student’s lesson.


Lesson Location

  • All private lessons must be taught on CCA property.
  • Teachers will not come to the student’s home to teach a regular or make-up lesson.
  • The SOTA registrar will make room assignments.


Student Drop off and Pick Up Procedures

  • For the safety of all, the outer doors of the buildings are locked during the day.
  • Teachers who teach lessons for young children immediately upon dismissal will go to the child’s classroom to pick up the child and take them to the lesson location. After that, the students should come to the outside door for admittance.
  • Parents should wait at the designated outside door of Jireh Hall to drop off and pick up their children.
  • Teachers will meet parents at the outside door to drop off the current student and receive the next student.
  • Teachers will not open the door for people who are not parents of his/her students.
  • Under no circumstances should you prop open an outside door.
  • Teachers will dismiss the student to the parent or designee.
  • It is extremely important that parents of students who have after school lessons will drop off and pick up students on time.
  • If parents are late picking up the student, the After School Care program (Cougar club) will be called to pick up the student and the student will be taken to ASC. Parents will then be responsible for paying the drop in childcare fee of $8/hour.
  • Students younger than 5th grade will be walked to the lesson room and picked up at the door by the parent.
  • Children who are in the After School Care program will be brought to and picked up from the lessons by the ASC staff and returned to the ASC location.


Alternate Transportation Arrangements

  • Parents must notify teachers with a note or phone call if a student is to be picked up by someone other than the usual designated adult.
  • If the teacher does not know the person picking up the student, identification will be required before the student can be released.


After School Care

  • Parents can choose to arrange for after-school care for a nominal fee on lesson days by contacting the Director of the After-school Care program (Cougar Club), Kim Spain at kim.spain(at)covenantchristian.net or 817-281-4333 ext. 127 or after hours at 817-996-1267.
  • If a student is part of the After- school care program, one of the workers will take the student to and from the lesson and return them to childcare.


Instruments and Music

  • Parents will provide the student with an acceptable instrument and required music. 


Practice Goals

  • Parents will encourage practice time at home by preparing a place for practice and helping the student to achieve his/her weekly practice goal.
  • Practicing for a short amount of time each day is much better than practicing for a long amount of time on one day.
  • Practice is crucial to the development of the child’s gifts.


Absences

  • Parents will notify the instructor at least 24 hours in advance when a lesson will be missed. This includes missing for athletic events or other school activities.
  • If a student does not show for a lesson with no prior notification, the parent will be charged for the lesson and the lesson will not be made up.
  • Lessons missed by the student are non-refundable and will only be rescheduled if the instructor is able to do so.
  • If a student becomes ill the day of the lesson and notifies the teacher, the teacher will try to make the lesson up if possible.
  • Parents should always contact the teacher regarding absences and make-up lessons rather than the school office or the Fine Arts Director.


Tardy Students

  • If a student is tardy for a lesson, time cannot be added to the lesson to make it up.
  • A conference with the parents should be requested if the problem persists.


Parent Observations

  • Parents of young students may observe and be part of the lesson process if they are able to and it does not distract the student.
  • Parents desiring to observe who are not normally present during the lesson should make the request one week in advance to the teacher.


Student Withdrawals/Refunds

  • Registration fees are not refundable.
  • Students who withdraw within three weeks of the first scheduled lesson are eligible for a 50% refund of the remaining balance.
  • After the third week of the term, parents will give a two-week notice in writing to the Fine Arts Director if they wish to drop lessons. If a student on the waiting list is able to take the spot vacated, parents will receive a 50% refund of the remaining balance. If there is not a student who can take the spot, no refund will be given. The teachers must be paid for the lessons they were contracted to teach.
  • If a student misses more than two lessons in a term without notifying the teacher in advance, the student will be dropped from the SOTA program and a refund will not be given for the remaining lessons. 


Performances

  • All Students will perform on the SOTA spring recital at the end of April.
  • CCA will host a piano festival in February. SOTA piano students are encouraged to participate in the festival.


Non-Compete Agreement

  • CCA recognizes that SOTA teachers may have other entities that they work for outside of CCA. Teachers who teach for the SOTA program are not prohibited from teaching at other schools or a home studio. However, teachers who teach for SOTA may not enter into a teacher/student relationship with any student that the teacher met through the SOTA program or the CCA community outside of the SOTA program. To do so, would constitute a breach of contract and will result in dismissal.


Student Responsibilities/Procedures

  • Students will bring music, instrument, pencil, folder, and other required materials to the lesson each week.
  • Students will practice several times during the week as instructed by the teacher.
  • Students will be punctual and will arrive to the lesson on time. Lesson time missed for tardiness will not be subtracted from the next student’s lesson time.
  • Students will wait at the outside door to be admitted by the teacher.
  • Students will respect the teacher and other students at all times.
  • Students will participate in the School of the Arts recitals and performances:
    • February 25- Spring Piano Festival (Optional) 9:00 a.m.- 12:00 p.m.
    • April 23-24- SOTA Spring Recital 6:30 p.m.
